Position Summary
Project HOME is seeking a highly capable, self-directed Executive Operations & Administrative Partner to serve as a trusted thought partner to our EVP/CFO and provide strategic operational support to the VP of Finance & Accounting and VP of IT.
This is not a traditional administrative role.
We are looking for someone who anticipates needs before they arise, thrives in executive environments, and adds strategic value through organization, analysis, and sound judgment. The ideal candidate is proactive, highly discreet, and comfortable working alongside C-suite leaders on complex initiatives.
You will play a key role in keeping executive priorities aligned, projects moving forward, and the Finance & IT divisions operating seamlessly.
What You’ll Do
Executive & Administrative Partnership
- Serve as an administrative partner to the EVP/CFO, helping manage priorities, prepare materials, and ensure follow-through on key initiatives
- Coordinate and support strategic projects, tracking milestones and ensuring cross-functional alignment
- Prepare executive-level reports, presentations, and correspondence
- Extract and synthesize data to support executive decision-making
- Anticipate scheduling conflicts, operational bottlenecks, and priority shifts
Executive Office Operations
- Manage complex calendars, meetings, and travel arrangements
- Coordinate and support standing executive and leadership meetings
- Maintain strict confidentiality and discretion with highly sensitive information
- Serve as the first point of contact for the administrative suite, ensuring professionalism and safety
Financial & Accounting Support
- Reconcile and settle corporate credit card accounts with precision
- Administer Stamps.com and Uber corporate accounts
- Maintain deposit logs and support cash/check recording processes
- Serve as liaison for corporate credit card distribution and paper paycheck coordination
- Support additional accounting-related assignments as approved
Facilities & Administrative Oversight
- Liaise with building management for maintenance and operational issues
- Maintain shared office spaces, supply inventory, and storage rooms
- Coordinate annual record retention shredding week
- Manage mail distribution across 1415 and 1515 Fairmount locations
Who You Are
You are:
- A self-starter who sees what needs to be done and moves without waiting to be asked
- Comfortable operating in C-suite environments
- Highly organized with exceptional attention to detail
- A strong communicator — both verbally and in writing
- Tech-savvy and confident using Microsoft Office (Outlook, Excel, PowerPoint, Word, SharePoint)
- Discreet and trustworthy with confidential information
- Able to manage multiple high-level priorities simultaneously
- You understand that executive partnership requires judgment, diplomacy, and the ability to zoom out strategically while also managing fine details flawlessly.
Minimum Qualifications
- Minimum of three (3) years of progressively responsible administrative and project coordination experience
- Experience supporting senior-level executives
- Experience extracting data and preparing reports and presentations
- Strong organizational, analytical, and communication skills
- Ability to prioritize, anticipate needs, and manage multiple projects
What Qualifications or Experience You May Bring:
- Experience working directly with C-suite executives
- Experience in nonprofit, healthcare, human services, or mission-driven organizations
- Exposure to finance or accounting operations
Physical Requirements
- Ability to remain sedentary or move throughout office locations for extended periods
