Senior Director of Operations

Position Overview

The Senior Director of Operations serves as the senior operational leader for Project HOME's Healthcare Services Division, working in a dyad partnership with the Senior Director of Integrated Care to ensure seamless coordination of clinical and non-clinical operations.

Reporting to the Senior Vice President of Healthcare Services and HRSA Project Director, this role is responsible for optimizing workflows, enhancing patient access, ensuring financial sustainability, and strengthening systems that support patient-centered, high-quality care.

The ideal candidate will bring a long-term vision for operational excellence, the ability to drive process improvement, and the courage to make decisions that move the organization forward. This leader will play a key role in advancing Project HOME's mission through strategic leadership, innovation, and disciplined execution.

  • Location: 2144 Cecil B. Moore Avenue, Philadelphia, PA 19121 (Stephen Klein Wellness Center)
  • Hybrid: Eligible for 2 remote days after 90 days of employment, based on business needs
  • Schedule: Monday - Friday, 8:30am - 4:30pm; Tuesdays operating hours go to 6:30pm
  • Local Travel: Travel to local sites within a 2 mile-radius
  • Salary: $130,274 annually

Key Responsibilities

Operational Leadership & Strategy

  • Provide executive oversight for non-clinical operations including front office, intake, outreach, referrals, call center, healthcare services, including but not limited to medical, dental, and nursing.
  • Design and implement efficient, patient-focused systems and workflows that enhance access, satisfaction, and service quality.
  • Partner with the Senior Director of Integrated Care to redesign processes and strengthen clinical-operational integration.
  • Identify and eliminate manual processes by implementing system-based solutions.
  • Serve as a change management leader, ensuring smooth transitions through clear communication and team engagement.

Organizational Development & Innovation

  • Lead and support new programs and initiatives that align with Project HOME's strategic goals.
  • Partner with IT teams to create technical and creative solutions for operational challenges; serve as a thought partner on EHR optimization.
  • Support scheduling, workflow design, and collaboration across provider and clinical teams.
  • Leverage data and technology to drive decision-making and measure performance outcomes.
  • Serve as an EHR super user and key resource for process efficiency.

Fiscal & Compliance Stewardship

  • Collaborate with the SVP of Healthcare Services and HRSA Project Director on budget planning, forecasting, and cost control.
  • Ensure compliance with all regulatory requirements (HRSA, HIPAA, NCQA, OSHA, and others).
  • Manage operational risk and uphold the highest standards of safety and ethics.
  • Support and advance Quality Management initiatives across all healthcare sites.

Collaboration & Communication

  • Build positive relationships with internal stakeholders, community partners, and health plans.
  • Effectively document, communicate, and disseminate operational updates to senior leadership and staff.
  • Foster a culture of transparency, accountability, and collaboration across the Healthcare Services Division.

What You Bring

  • Minimum of 5-7 years of progressive leadership experience in the healthcare field, preferably within an FQHC or Community Health Center.
  • Bachelor's degree in business, Public Health, Hospital or Public Administration
  • Skilled and proficient in electronic health records, Microsoft Office Suite, and other health related technology platforms.
  • Thorough understanding of outpatient and managed care principles, requirements, and systems, including PA Medicaid and Medicare.
  • Proven ability to oversee multiple projects at various locations, meet deadlines, and deliver measurable outcomes.
  • Ability to manage and supervise various positions and relate well to people from diverse ethnic and cultural backgrounds, as well as have a passion for working with at-risk, culturally diverse populations.
  • Basic understanding of healthcare informatics and ability to organize, analyze and synthesize complex data from various sources.
  • Demonstrated success leading process improvement and system transformation initiatives.
  • Willingness to work flexible hours to meet the organization's needs/demands.

What You May Bring (Preferred Skills & Experience)

  • Master's degree in Business, Public Health, or a related field.
  • Expertise with eCW; experience as an EHR super user or trainer.
  • Familiarity with Lean, Six Sigma, or other process improvement methodologies.
  • Background with 43B processes and ability to quickly adapt to related systems or protocols.
  • Bilingual - Spanish
