We are currently seeking a highly organized, execution-driven Sr. Director of Executive Affairs to serve as a trusted operational partner to the President & CEO, strengthen workflow efficiency, and act as the primary project manager for the Office of the President & CEO-ensuring the timely, high-quality execution of executive priorities, cross-functional initiatives, and communications in support of the organization's mission.
Position Overview
The Sr. Director of Executive Affairs is a senior advisor, strategic operator, and trusted partner to the President & CEO. This role sits at the center of the organization, ensuring the CEO's highest priorities are executed with clarity, discipline, and impact. Serving as the primary project manager for the Office of the President & CEO, the Sr. Director of Executive Affairs drives cross-functional initiatives, strengthens executive workflow, and ensures seamless coordination across leadership, the Board of Trustees, and external stakeholders.

Location: 1515 Fairmont Avenue, Philadelphia, PA 19131 (Christopher J. Seward Residence)
Hybrid: Eligible for 2 remote days after 90 days of employment, based on business needs.
Schedule/Availability: This is a full-time, exempt role that generally follows standard business hours (9a.m.- 5p.m.), with the understanding that executive-level work is not always confined to a fixed schedule.
The role requires flexibility to support organizational and community needs, including:
- Periodic evening meetings and community engagements (typically up to two evenings per week)
- Availability to respond to time-sensitive calls or emails outside of regular business hours, as needed
- Occasional weekend commitments, which are infrequent but may include organizational events such as galas, community gatherings, or fundraising activities
You should be comfortable with a flexible schedule and understand that responsibilities may extend beyond traditional hours to support executive priorities and mission-critical activities.
Local Travel: This role requires regular local travel within Philadelphia, including travel to City Hall, meetings with community, external partners and attendance at essential community relationship building events. The position also includes participation in executive trainings and meetings on behalf of the President & CEO, as needed. Travel will primarily occur throughout Center City and across Project HOME locations.
Salary: $130,274 annually

You Will:
Serve as the operational anchor for the Office of the President & CEO, bringing structure, clarity, and momentum to executive priorities while ensuring high-level projects, communications, and cross-functional initiatives are executed with precision and follow-through.
Key Responsibilities:
Manage the Office of the President and CEO
- Partner with the CEO's Executive Assistant(s) to streamline the CEO's schedule, communications, and workflow.
- Serve as a senior advisor to the CEO, helping maintain focus on the most critical, high-impact priorities.
- Work with Executive Assistant(s) to prepare and manage agendas, follow-ups, and content for Executive Team meetings, and other strategic meetings.
- Manage requests, information, and decisions flowing into and out of the CEO's office.
- Facilitate internal communication between the CEO and Executive Team, staff, residents, Board of Trustees, and external stakeholders, ensuring timely communication and follow-up on action items, minimizing delays and improving accountability.
- Streamline reporting structures and meeting formats to reduce inefficiencies, allowing CEO and Executive Leadership Team to focus on strategic priorities and external opportunities.
- Represent the CEO in meetings and external engagements when requested
Strategic and Project Management Support
- Lead and manage the execution of special projects and strategic initiatives on behalf of the CEO, ensuring they are completed on time, within budget, and aligned with the organization's mission to end homelessness and poverty.
- Partner with the CEO and Executive Team to manage, track and report on strategic plan, annual goals, and key performance indicators.
- Identify and bring together important stakeholders to help drive decisions.
- Be proactive in identifying potential issues on projects, outgoing communications, or agenda items for the CEO.
- Collaborate with Project Manager in the Office of the Executive Vice President and CFO to support project management across the two offices.
Operational Performance and Efficiency
- Monitor project deliverables, ensuring accountability for achieving measurable outcomes, and regularly reporting results to the CEO.
- Coordinate executive-level decision-making by preparing briefing materials, conducting research, and ensuring timely follow-up
- Establish systems to ensure executive leaders are equipped with the tools, resources, and processes to address challenges proactively and collaboratively.
- Strengthen mechanisms for gathering, analyzing, and using data to support the CEO and inform decision-making, improve outcomes, and drive innovation.
- Identify opportunities to streamline processes, improve collaboration, and enhance the overall effectiveness of the administration
- Support change management efforts and help build a culture of operational excellence and transparency
Financial Management? ?
- Support the Executive Team with the crafting of the annual budget and multi-year financial planning strategies for the organization.?
- Work with CEO, CFO and the Finance, Accounting & Administrative Team to support budget management.
- Manage the budget of the Office of the President and CEO, with the support of the Executive Assistant(s)
What You Bring (Requirements)
- 7+ years of professional experience in nonprofit, human services, housing, government, or related field.
- Significant experience in executive support, operations, strategic planning, project management, chief of staff, or similar administrative leadership roles.
- Demonstrated ability to manage complex, cross-functional initiatives with multiple stakeholders.
- Strong project management expertise, including experience with tools such as Asana, Monday.com, or similar platforms.
- Experience supporting budget development and operational or administrative budget oversight.
- Exceptional written and verbal communication skills, with strong attention to detail and follow-through.
- Bachelor's degree or equivalent professional experience.
What You May Bring (Preferred)
- Prior experience as a Chief of Staff, Director of Executive Affairs, or Special Assistant in a nonprofit, government, or elected office setting.
- Experience working with or alongside government agencies, funders, and civic leaders.
- Familiarity with housing, homelessness, or human services systems.
- Knowledge of Philadelphia or experience working in other cities with the ability to adapt to local political and community dynamics.
- Experience designing, implementing, or evaluating programs addressing systemic inequities with measurable outcomes.
