We are seeking an experienced, dynamic & mission-oriented Dental Practice Manager to lead the day-to-day administrative and operational functions of our dental clinic within an integrated healthcare model. Reporting to the Sr. Director of Operations and working in close partnership with the Dental Director, this role ensures the clinic operates efficiently, compliantly, and with a strong focus on delivering high-quality, patient-centered care.
The Dental Practice Manager provides hands-on leadership across both front and back-office operations, overseeing clinical workflows, staff performance, scheduling, and revenue cycle coordination, while driving operational improvements that strengthen productivity, patient access, and the overall care experience. This position collaborates closely with internal teams, external vendors, and community partners to support quality initiatives and ensure dental services are delivered with excellence, compassion, and operational integrity.
- Location: 2144 Cecil B. Moore Avenue, Philadelphia, PA 19121 (Stephen Klein Wellness Center-SKWC)
- Schedule/Availability: Monday - Friday 8:15 am - 5:00 pm EST. This is a full-time, exempt role.
- Salary: $69,302 / annually

- Bring deep knowledge of dental practice operations, including clinical workflows, scheduling, and patient flow.
- Have strong experience with dental insurance processes, including Medicaid, MCO plans such as DentaQuest, and pre-authorizations.
- Be comfortable managing front desk operations and clinical support teams to ensure smooth daily operations.
- Demonstrate hands-on leadership, stepping in when needed to support staff and resolve operational challenges.
- Be an effective people leader and coach, able to develop staff, address performance issues, and hold team members accountable.
- Possess strong organizational and problem-solving skills, with the ability to manage multiple priorities in a busy clinical setting.
- Be proactive, resourceful, and solutions-oriented, always looking for ways to improve workflows and patient experience.

Key Responsibilities:
Department Leadership & Operations
- Provide administrative and operational leadership for the dental department, ensuring efficient workflows, regulatory compliance, and high-quality patient care.
- Monitor productivity, staffing, and supply usage to improve efficiency and meet operational and financial goals.
- Ensure compliance with federal, state, and regulatory requirements including HRSA, CDC, OSHA, and the Pennsylvania Dental Practice Act.
- Support strategic planning, policy development, and resource allocation for dental services.
Clinic Operations & Patient Experience
- Oversee daily clinic operations, staff coordination, and patient flow.
- Lead team huddles and serve as the primary contact for operational and patient concerns.
- Maintain a safe, respectful, and patient-centered clinic environment while addressing complaints, incidents, and service issues.
- Manage staff scheduling and coverage to maintain adequate patient access to care.
Partnerships & Operational Coordination
- Serve as a liaison to vendors, dental labs, insurance representatives, and community partners.
- Coordinate operational services including equipment maintenance, supplies, and clinical support services.
- Collaborate with internal departments such as Revenue Cycle Management, Accounting, IT, and Property Management.
Scheduling, Revenue Cycle & Patient Access
- Manage provider schedules and patient appointments to optimize clinic capacity and patient access.
- Oversee scheduling accuracy, insurance verification, billing processes, and no-show management.
- Partner with Revenue Cycle Management to support accurate coding, billing, collections, and compliance with financial regulations including the No Surprises Act.
Pre-authorizations, Referrals & Care Coordination
- Oversee dental preauthorization processes, including approvals, denials, and follow-up.
- Maintain referral networks and coordinate specialty care to ensure continuity of patient treatment.

Quality Improvement & Integrated Care
- Support integration of dental services with medical and behavioral health teams to provide comprehensive care.
- Participate in quality improvement initiatives, performance monitoring, and workflow improvements.
Staff Leadership & Development
- Supervise dental administrative staff and oversee support staff through the Dental Assistant, Front Desk Reception/Staff and Dental Assistant Supervisor.
- Recruit, hire, train, and develop staff while fostering a collaborative team culture.
- Set performance expectations, conduct evaluations, and address employee relations matters in partnership with Human Resources.
- Review and approve payroll and ensure accurate timekeeping.
What You Bring (Requirements)
- Bachelor's degree or four years of equivalent professional experience.
- Minimum of 3 years of supervisory experience in a dental practice setting.
- Strong experience managing the daily operations of a dental practice, including clinical workflows, scheduling, and patient access.
- Experience working with Electronic Medical Records (EMR) systems; eClinicalWorks (eCW) experience preferred.
- Knowledge of dental billing, insurance verification, preauthorization processes, and revenue cycle operations.
- Familiarity with healthcare regulatory requirements such as HRSA, OSHA, HIPAA, and state dental practice regulations.
- Demonstrated leadership experience supervising teams, improving workflows, and supporting staff development.
- Strong organizational, communication, and problem-solving skills with the ability to manage multiple priorities in a fast-paced clinical environment.
- Strong knowledge of dental terminology, procedures, and dental insurance processes.
- Proficiency with Microsoft Office, including Excel.
What You May Bring (Preferred)
- Experience managing dental operations within a Federally Qualified Health Center (FQHC) or community health center.
